Microsoft 365 Account Security Tips for Families and Small Teams
A Microsoft 365 subscription is connected to an account, so account security is part of software security. A few simple controls can prevent avoidable access and recovery problems.
Use a unique password and MFA
Do not reuse the Microsoft account password on shopping, social, or work websites. Enable multi-factor authentication using an approved method and keep recovery information current.
Review signed-in devices
Periodically inspect the devices and sessions associated with the account. Remove old laptops, shared computers, and phones that are no longer controlled by the account owner.
Separate owners from daily users
For a family or team, document who owns the subscription and who uses it. Avoid sharing one password with everyone. Use the supported account and sharing features for the plan instead of passing credentials through chat.
Watch for fake activation messages
Unexpected calls, pop-ups, and emails asking for remote access or a complete password are common warning signs. Microsoft support and payment providers do not need you to publish a password or license credential in a public forum.
Plan account recovery
Keep a secure record of the account email, recovery method, renewal date, and order information. Test recovery before an urgent deadline, not after access has already been lost.
